Arrival & Departure

Check-in is available from 2pm and check-out by 11am.

If you’ll be arriving early, we’re pleased to offer early check-in upon availability which may be subject to charge. To guarantee availability of an early check in prior to 3pm, it is recommend that you book the previous night.

If arriving late, all rooms that have been secured by credit/debit card or prepaid at the time of booking will he held until 11.59pm on the scheduled date of arrival unless otherwise agreed directly with us.

Late check-out at 1pm is available for an additional charge of £25 (subject to availability). If you check-out after 1pm, the additional charge is equivalent to one night’s accommodation. Please enquire with the Hotel reception.

Reservations

We understand that plans change. Please ensure you cancel room reservations in accordance with your booking terms. eg 28 days prior to arrival. We highly recommend that guests take out their own travel insurance.

If we receive less than the required notice the total cost of stay is fully chargeable.

You can cancel your reservation by contacting us directly or through the main hotel website.

Except where we’ve agreed in advance, specific suite or room numbers are not provided to you prior to your arrival. Where you have been given a specific suite or room number, we reserve the right to change it.

Very rarely, in situations that we can’t control, we may need to substitute your reserved accommodation with similar or comparable accommodation. If the substituted accommodation costs less than your reservation, we will gladly refund the difference. Such substitution shall be accepted by you as satisfactory performance by us of our obligation to provide the reserved accommodation.

Rarely, errors may occur in respect of your reservation. Where we are unable to accommodate you, we do our best to secure alternative accommodation for you.

All descriptions, illustrations and indications of the price of our accommodation provided on the hotel website or otherwise communicated to you are for guidance only and intended merely to present a general idea of the accommodation.

The images on the Website of our Hotel and accommodation are for illustrative purposes only. Although we have made every effort to display the rooms and suites accurately, the accommodation may vary slightly from those images. The prices stated are inclusive of sales taxes at the applicable rate.

Group Reservations

Guests within Group Reservations adhere to all other terms in this document. However, please refer to your individual Group Booking Contract / Confirmation correspondence for the specific terms relating to cancellation policies and payment requirements.

Entertainment

The timings for our Entertainment Evenings are arrival 7pm for 7.30pm, with dinner being served at 7.30pm. The entertainment will begin immediately after dinner. Under normal circumstances the ballroom or event space will be on tables set for 10 people. Whilst we are of course happy to accept
bookings for smaller parties on smaller tables, it may not always be possible to accommodate every request.

The hotel accepts no liability for a change in the programme through illness or late cancellation.

Cancellations & Refunds
We strongly advise prospective guests to book directly with the hotel. We are able to be more flexible with modifications and, at times refunds when bookings are made direct. To cancel a reservation through an Online Travel Agent such as Booking.com, this must be done through them and their booking conditions / cancellation terms will apply.

Advance Bookings

Advance Purchase Reservations are fully non-refundable and non-transferrable. Only in the most strenuous of circumstances and at the direct approval of our hotel directors might this be amendable. We highly recommend that guests take out their own travel insurance.

Christmas & Hogmanay / Special Events

Please refer to individual booking correspondence and contact the hotel directly for any Special Event Reservations.

Registration

Upon arrival or in advance through our pre-arrival email communication, we will ask that you complete a Pre-Registration Form for all the Residents in your group over the age of 16 with full name(s), home address(s) and nationality; this is required by law.

These records will be kept for at least 36 months and may be disclosed or made available for inspection by any police officer. We reserve the right to refuse entry to persons who cannot provide the above information.

All same day booking Residents and Guests may also be required to confirm their identity by providing photographic ID such as passport or driving license.

Guests under the age of 18 may only be registered and checked in to the Hotel if accompanied by an adult.

Admission to the Hotel

We reserve the right to refuse admittance to the Hotel’s rooms or give access to other areas of the Hotel at all times. The protection of You, Your property, the Hotel, the Hotel’s property and the reputation of the Hotel are of paramount importance. Where, in our reasonable opinion, there is doubt regarding a prospective Resident, Guest or Visitor, access to the Hotel may be declined. We must comply with certain licensing and statutory regulations and reserve the right to restrict access to the Hotel’s Facilities in accordance with the Hotel’s alcohol licence.

Non-Smoking

Please be aware that the entirety of the hotel operates a firm no-smoking policy. This extends to guest bedrooms and all public areas.

If Smoking is detected within any guest room a flat fee of £150 will be charged to deep clean the room for the next guest.

Damages

Any and all damages caused through negligence or deliberate act will be fully chargeable to the lead booker, this includes damages caused by their resident / non-resident guests.

Pet & Guide Dog Policy

In general, Dogs are welcome in our hotel.

A pet fee of £15 per pet per night will be applied to your reservation.

Owners/guests must advise the hotel in advance of arrival if they wish to bring a pet.

Any stains or damages must be paid for according to the cost of replacement or repair.

Owners/guests are asked to control any noise made by the pet to ensure it does not disturb other guests. The hotel reserves the right to review our accommodation commitment if operational issues occur.

The pet cannot be left alone in any room or suite at any time and staff are not permitted to care for the pet - e.g. feeding or walking.

The pet must be kept on a leash when in public areas. Pets are not allowed in the spa and fitness facilities. Pets are not allowed in any food or beverage area, with the exception of assistance dogs.

Guests are asked to pick up any deposits left by the pet immediately.

Pets must be well trained.

Car Parking

The hotel provides a large private car park for guests and residents of the hotel at no charge.

Only the aforementioned persons may make use of our car park and the overnight parking of non-residents, unless agreed is strictly prohibited.

Those utilising the car park do so at their own discretion. The hotel and its management accept no liability for any loss or damage for any vehicle or its contents.

We kindly ask that the front of the hotel be used as a luggage and guest drop off area only. We kindly ask guests to utilise the main hotel carpark for overnight parking.

Please be mindful of our accessible parking spaces as not to block entry or exit, even if the spaces are empty

Our Car Parks do utilise CCTV. Whilst we do offer a large hotel car park, we are under no obligation to provide parking.

Guests and Visitors

Visitors may only stay overnight in a Resident’s room or suite if the number of sleepers corresponds with the number of beds so we do not breach the accommodation maximum specified in the Hotel’s Fire Policy. If you’d like an extra bed in your room or suite, we’ll be happy to arrange this for you for an additional cost. Please speak to the Hotel’s reception or call us when making your online booking.

Please note that you are responsible for the conduct of your Guests and Visitors whilst they are at the Hotel. Please be considerate of our other guests and do not be noisy or cause a nuisance.

Please note that Individuals suspected of soliciting or importuning irrespective of whether they are a Guest, Resident or Visitor will be denied access to the Hotel.

Resident / Guest / Visitor Obligations

Your behaviour, appearance and sobriety must be of a standard appropriate. The hotel operates a “smart casual” dress code in our restaurants, so we kindly ask that you refrain from wearing caps, ripped jeans, sportswear, trainers or shorts.

We pride ourselves on being a family owned and managed property for all guests including families. The enjoyment of our hotel is of the upmost importance for our guests and to ensure everyone feels comfortable we insist that the following is unacceptable:

Discriminatory behaviour or other behaviour which affects the dignity of an individual directed by you or your Guests/Visitors to another individual or individuals within the Hotel, including other Residents/Guests/Visitors or staff of the Hotel, whether verbal or not, which is of a sexual or racial nature or is based upon disability, age, sexual orientation, gender identification, nationality, marital status, maternity or pregnancy; or religion or belief;

Any form of verbal or non-verbal conduct which could be regarded as violent, bullying or intimidatory behaviour such as unsolicited touching of Residents/Guests/Visitors or staff of the Hotel.

Commercial photography or filming without our prior written consent is not permitted.

No alcohol or food may be brought into the Hotel for consumption within the Hotel, guests may be charged applicable corkage or cover charges.

Firearms, shotguns or any other weapons may not be brought into the Hotel.

While always a last resort, if deemed necessary, the management reserve the right to terminate any stay early with no refund if the actions of guests after fair warning, have gone unchanged.

Accounts Authority

1. You warrant that you are over 18 years of age and are authorised by or on behalf of the Paying Person to agree to these Terms and to incur the charges for use of the Services provided by us.

2. If you are a business customer, you confirm that you have authority to bind any business on whose behalf you are making Reservations.

3. During the online reservation process, guests will be required to confirm a valid method of payment and you hereby authorise the settling of all outstanding charges by the Hotel by the use of the provided payment method and/or using any of your credit or debit card details held on file authorised for such use. We accept cash in the local currency, American Express, MasterCard and VISA. We do not accept Diners Club. Gift cards may not be used to purchase accommodation online, but may be used to pay when you check out. Please note that we cannot accept payments by cheque unless expressly agreed prior to arrival. Charges for usage of any or all of the Services pprovided by the Hotel will be added to your room account with us and will be due for payment in accordance with the payment terms agreed between the Paying Person and the Hotel.

4. Charges for usage of any or all of the Services provided by the Hotel are to be settled prior to leaving the Hotel or in accordance with payment terms agreed in writing between the Paying Person and the Hotel. You are deemed to have authorised the settling of all outstanding charges which can be processed by the Hotel using any credit or debit card details held on file.

5. Payments for the Hotel’s Services may at our discretion be made by a third party such as a company, association or individual. We are entitled to decline payment by any such third parties. You remain personally liable for all charges for the Hotel’s Services until receipt of cleared funds from such third party.

6. We reserve the right to charge interest on late payments. In the United Kingdom, this is charged at 4% above Royal Bank of Scotland’s base rate on overdue balances. We are entitled to secure your property and to hold the same until such time as we are in receipt of cleared funds in respect of all sums due from the Paying Person to the Hotel (the Sums Due). Should we not receive the Sums Due within 3 months of the Hotel’s invoice then we will be entitled to sell or otherwise dispose of your property. The net proceeds of any such disposal will be credited to the outstanding balance due to us.

Third Party Services

1. Where we procure services for you through a third party (such as restaurant bookings), all contractual arrangements relating to such services are between you and the third party.

2. We do not give any warranty, guarantee or other term as to the quality, fitness for purpose or otherwise of services supplied by third parties.

Limits on The Hotel’s Liability

The Hotel’s liability is limited as follows:

• We will not be responsible for the loss or damage of any property left in the Hotel, save for the Hotel’s default, neglect or wilful act, other than as required under any applicable law.

• We shall have no liability to you for any loss, damage, costs, expenses or other claims for compensation arising from any instructions supplied by you which are incomplete, incorrect, inaccurate, illegible, out of sequence or in the wrong form, or arising from your late arrival or non- arrival or any other fault of yours.

Force Majeure

Where the Hotel’s performance of its obligations is prevented or affected directly or indirectly by or as a result of force majeure or any circumstances beyond its reasonable control, including floods, earthquakes, extreme adverse weather conditions, natural disasters, other acts of God, acts of terrorism, fire or failure of electric power, gas, water or other utility service, plant machinery, computers, vehicles, collapsing of building structures, government or public authority interventions, pandemics, strikes, labour disputes, accidents and emergency repair works, then the Hotel’s liability to you shall be limited to refunding to you any sum that it has already paid to us in respect of those obligations that we are unable to fulfil.

Only valid for use against full-price services and not in connection with ANY other special offer.

Accommodation – Voucher only valid at The Cairndale Hotel, redeemable against Room Only, Bed & Breakfast or Dinner Bed & Breakfast rates as seen on our website only.

Vouchers CANNOT be used as a deposit towards future hotel stays.

To be redeemed against accommodation, the hotel break must take place between January 3rd 2025 and March 31st, 2025 (excluding February 14th, March 10th, March 29th-31st ).

Food – voucher is valid in Reivers Restaurant and can be used for full-price food, including dinner, an afternoon tea between (excluding February 14th, March 10th, March 29th-31st ).

Drinks – vouchers are valid for drinks and hot beverages when dining in the restaurant or with afternoon tea.

Voucher is not valid to purchase food or drink during any wedding, private function, private event or party.

Voucher is not valid against Weddings, Private Functions, Health Club Membership, Golf Breaks and Children’s Parties or any other event in the hotel.

Voucher cannot be used to purchase additional vouchers.

The voucher cannot be exchanged for cash.

Vouchers cannot be used in conjunction with any sale item, special package or special offer.

Vouchers are strictly non-refundable, without exception.

Voucher use is subject to availability, and we recommend booking your preferred room or restaurant early to avoid disappointment.

Advance booking is required. We reserve the right to refuse any voucher payment if not declared or pre-booked prior to arrival.

Black Friday vouchers are valid from 3rd January 2024 until midnight on 31st March 2025, excluding February 14th, Saturday 18th and Sunday 19th – other exclusion dates may apply and all Gift Voucher Bookings are subject to availability.

Vouchers automatically expire at 23:59:59 on 31st March, 2025.

Vouchers must be redeemed by the date and time above – please note the experience purchased with the gift voucher must occur before the date and time above and does not mean a stay or dining experience can be booked beyond 31st March 2025.
